How I Use Honeybook for my VA Business

Imagine looking to hire someone and they have no automated systems in place -  they are emailing you a list of available call times and expecting you to pick one, add it to your calendar AND even make you set up the link for the call.  You likely wouldn't even want to get on a call with them, not to mention HIRE them. After all, they're the one who is supposed to be making YOUR life easier.

Enter your customer relationship management system - or CRM for short. There are quite a few options on the market to help streamline the client experience. Here are some examples of how I use my CRM (Honeybook is my favorite!) in my VA business:

1. Calendar System

If you reach out to a potential client & they say they are interested - do you have everything else in place? Do NOT start messaging back & forth about available times to set up a call. Instead, be sure you have a scheduling link in place that takes the client from picking a time, to getting a confirmation along with the details like the virtual meeting call link (Zoom, Google Hangouts, etc.) of the call. 

2. Automated Emails

Once the potential client books a call, you’ll want to send out a confirmation email with the time, date, and link for the call. A CRM can automate this so you don’t have to manually send with each booking.

3. Automated Reminders

Everyone is busy - reminders are crucial! I always recommend that a reminder be sent both 24 hours and 1 hour before the call with the link included - to yourself and to the client. The nice thing about Honeybook is the client can simply hit a Reschedule button if something comes up and they need to pick a different time!

4. Seamless Proposal & Contract

The client is ready to sign - yay! Now what? Rather than emailing PDFs or putting things into DocuSign, an electronic proposal is now the industry standard. Make sure you have this set up to ensure the final stage of signing the client is a smooth one!
